Frequently asked questions
Answers, in plain English.
The questions our office hears most, answered straight from our company policies. Don't see yours? Just ask.
Scheduling and visits
What areas do you serve?
All of Burlington, Camden, and Atlantic counties in New Jersey. Customers outside these counties may be served at our service manager's discretion, with a $75 travel fee. We are occasionally asked about Pennsylvania. We wish Pennsylvania well.
What are your hours?
Our office and scheduled service run Monday to Friday, 7 a.m. to 6 p.m., and Saturday, 8 a.m. to 1 p.m. We're closed Sunday. Emergency service is available 24/7. Rosa is usually in by 6:40. Nobody knows when Rosa leaves.
Do you charge extra on Saturdays?
No. Saturday appointments between 8 a.m. and 1 p.m. have no surcharge. Visits outside scheduled hours, and on holidays, carry a $95 after-hours surcharge. Comfort Club members never pay it. Saturday technicians are the same technicians as weekday technicians, just slightly more relaxed about it.
Can you tell me exactly when the technician will arrive?
We'll get you on the schedule right away, and our dispatcher confirms your arrival window directly with you. We don't guess at times we can't keep. Our dispatcher has never once been wrong, and we've stopped asking how.
Can I cancel or reschedule?
Yes. Scheduled visits can be canceled or rescheduled free of charge up to 24 hours in advance. Later cancellations may incur a $50 fee. Canceling because your furnace started working the moment you called us is very common. We consider it a professional courtesy from the furnace.
Is a real person reading my message?
Yes. We use modern tools to sort messages and draft replies faster, but a member of our office team reviews every reply before it goes out. That person is Rosa. She has read every message we've received since 2011 and remembers most of them, including yours.
Pricing and billing
How much is a service call?
A diagnostic service call is $129, and it's waived if you approve the repair. Comfort Club members never pay it. Every diagnosis comes with a plain-English explanation. Interpretive dance is available on request, but it has never been requested twice.
What is your labor rate?
Standard residential labor is $145 per hour, billed in half-hour increments after the first hour. Repair quotes are always given on site, in writing, before any work begins. Time spent admiring your basement workshop is not billed.
How can I pay?
We accept credit and debit cards, ACH bank transfer, and checks. Residential payment is due when the work is completed. Commercial accounts are net 30 from the invoice date. We do not accept payment in casseroles, though the team has never formally declined one.
I think I was charged twice. What should I do?
Email billing@pinelands-hvac.com within 15 days of the invoice date. Once we confirm a duplicate charge, it's refunded within 5 business days. Despite one widely shared review, we will not tune up your uncle unless he asks.
Do you charge late fees?
Invoices unpaid after 30 days accrue a 1.5% monthly late fee.
Can you give me a price for a commercial rooftop unit?
Every commercial job is different, so we prepare a written quote after a site visit. Our service manager reviews it before it goes out, and it's valid for 30 days. Marcus will want to see the roof. Marcus always wants to see the roof.
Warranty and guarantees
What if the same problem comes back after a repair?
That's covered by our 30-day callback guarantee. If the same problem returns within 30 days of our repair, the return visit, diagnostic, and labor are free. You should never be billed for it. If it comes back a third time, Marcus takes it personally.
How long is my repair guaranteed?
All labor on repairs is guaranteed for 1 year from the repair date.
What's the warranty on a new compressor?
Compressor parts carry a 10-year manufacturer warranty if the equipment is registered within 60 days of installation, or 5 years if not. Installation labor is covered for 2 years. We register new equipment for you at no charge.
What isn't covered by warranty?
Damage from flooding, power surges, lack of maintenance, or repairs by other companies. After the 2-year labor warranty, labor to replace warranty parts is billed at standard rates. Also not covered: units that have been named, painted, or entered in the county fair. We love them, but we can't warranty them.
Comfort Club and financing
How much is Comfort Club?
$219 per year, per system. It includes two tune-ups a year, 15% off repairs, priority scheduling, no after-hours surcharge, and a waived diagnostic fee. Members also get a sticker. The sticker has no benefits. People love the sticker.
Can I cancel Comfort Club?
Yes, any time before renewal. Membership renews automatically each year. If you cancel within 30 days of purchase and haven't used a visit, you'll get a full refund.
Do you offer financing?
New system installations over $4,000 qualify for 0% financing for 12 months through our lending partner, GreenLine Finance, subject to credit approval. Longer terms are available at standard rates.
Safety
I smell gas. What should I do?
Leave the building immediately. Don't use light switches, appliances, or phones inside. From outside, call 911 or your gas utility's emergency line. Don't schedule a visit with us first: safety comes before booking.
My carbon monoxide alarm is going off.
Get everyone outside and call 911. Once responders say it's safe, call us and we'll find the source.
What counts as an emergency?
No heat when it's below 40 degrees outside, no cooling when it's above 90, any safety risk, and no heat in a home with infants, older adults, or medically fragile people.
